How do I configure Outlook to use DeskNow ?

It is usually very easy to configure a DeskNow mail account in Outlook or Outlook Express.


IMAP or POP3?
Starting with release 3.0, DeskNow offers two different ways of accessing your mail using a mail client: IMAP4 and POP3. These are two different protocols, with both advantages and disadvantages.


IMAP advantages:

  • the same structure of folders that you have in DeskNow is used in Outlook (or any other mail client)
  • it keeps all the messages on the server: so you can access from webmail and Outlook, change your mail client, etc.
  • it is typically faster to see new messages (as it normally just downloads headers of new messages)

POP3 advantages:

  • it always downloads all messages (if you enable the 'leave messages on server option, it becomes slow if you have thousands of emails in your inbox). Once downloaded, you can access your messages even when your computer is offline. IMAP can do this, but you may need to configure your client differently
  • it works in DeskNow Lite (free)

We strongly recommend using IMAP unless you have valid reasons to use POP3.

Please note that IMAP requires a DeskNow Professional License, and DeskNow 3.0 or later.

Outlook configuration with IMAP

To configure an account, simply click on the menu Tools, click on E-mail Accounts. Then input the appropriate details as shown in the screens below. Use your name, email address, and DeskNow password.

The most important thing is to know the address of your DeskNow server. This is the same computer address that you use in the browser when you login to DeskNow.

For instance, if you can access the login page at the address http://www.mydomain.com/desknow/index.html

then the address of your server is www.mydomain.com . Important: even if you use a port in the http address (ex. http://www.mydomain.com:8080/desknow/index.html) do not specify any port in the IMAP address.

Important: if you have multiple virtual domains on your DeskNow server, you need to use the full email address as your username, for instance joe@domain2.com .

If in the configuration wizard you have enabled mail relay for the IP address of your computer, then you do not need to do anything else. Otherwise, click on the 'More Settings...' button, and make sure to enable authentication for SMTP. See image below:



How to store the emails that you send in Outlook into your IMAP folder in DeskNow
For versions of Outlook older than Outlook 2007, there is no simple option to tell Outlook to store sent emails on the server. However a workaround exists: http://support.microsoft.com/kb/198854

Outlook configuration with POP3

To configure a POP3 account, simply click on the menu Tools, click on E-mail Accounts. Then input the appropriate details as shown in the screens below. Use your name, email address, and DeskNow password.

The most important thing is to know the address of your DeskNow server. This is the same computer address that you use in the browser when you login to DeskNow.

For instance, if you can access the login page at the address http://www.mydomain.com/desknow/index.html

then the address of your server is www.mydomain.com . Important: even if you use a port in the http address (ex. http://www.mydomain.com:8080/desknow/index.html) do not specify any port in the POP3 address.
